What does my status mean?
On the Directory, there are currently several statuses made visible to applicants. The following is a guideline for each status on the Directory and the requirements under each status:
All applications are reviewed and processed in the order they are received.
Application – Incomplete: the application is incomplete and has yet to be submitted by the applicant. The Directory is unable to process this application.
Application – Received: the application has been submitted by the applicant and received by the Directory and will be reviewed. Once the application has been reviewed by the Directory, applicants will be informed of their next steps.
Returned for Corrections: the application has been reviewed and there are errors or missing pieces of information on the application. It has been returned to the applicant with a comment indicating the correction required under “General comments” on your application form.
Waiting Documents:
Your application has been received and reviewed; however, we are unable to approve your application on the Directory until we receive the required documentation from your post-secondary institution (school). The required documentation for each status group is listed below:
Certified applicant
Any applicant with HCA education obtained through a Government of Alberta licensed post-secondary institution (using the provincial HCA curriculum).

- The post-secondary institution (school) is to provide the applicants official transcripts to the Directory at info@albertahcadirectory.com
Substantial Equivalence Assessment applicant:
Any applicant who did not graduate from an approved Alberta Health Care Aide (HCA) Program.
- Complete the following consent form and submit it directly to your post-secondary institution: https://albertahcadirectory.com/wp-content/uploads/2020/12/HCA-Substantial-Equivalence-Assessment-Form-ID-5509.pdf
- Your post-secondary institution (school) is to provide transcripts and curriculum (or course description) to assessment@albertahcadirectory.com. Course outlines are insufficient and will not be considered.
All transcripts, curriculum or course description must be sent to the Directory by the post-secondary institution (school). Any transcripts or consent forms received from the applicant will not be considered.
Waiting Review or Assessment:
Your application has been received, reviewed, and processed. We are unable to approve your application on the Directory until we receive verification from your employer or from the assessor.
Substantial Equivalence Assessment applicant:
Any applicant who did not graduate from an approved Alberta Health Care Aide (HCA) Program.
- The Directory has received all the required documentation to complete your assessment, and your application has been sent to the assessor for review. Once your assessment is complete, you will be notified of the decision of the assessment by email. All assessments take up to 4 – 8 weeks to complete once all documentation has been received.
Deemed Competent applicant:
Any applicant who did not receive formal health care education and are deemed competent by an Alberta regulated nurse employed by an HCA operator using the CAPs (Competency Assessment Profile Tool).
- The Directory has received your application for this status group, and your application has been sent to the supervisor you listed on your application. We encourage applicants to contact their supervisor to request they verify their application on the Directory.
- Applicants may contact the Directory to update supervisor information.

Review(s) Complete: the requirements for the competency status applied has been met and your application will be reviewed once again and approved.
